Data Retention Policy

Retention Principles

We retain personal data only for as long as necessary to fulfill the purposes for which it was collected, or as required by applicable law. This policy outlines retention periods by data category.

Retention by Category

Profile Data (name, email, institution): Retained for the duration of your active account plus 2 years after account closure for administrative and legal compliance purposes.

Journal Entries and Reflections: Retained for the duration of your active account. Deleted within 30 days of account deletion request, unless required for academic record retention.

Vault Files and Uploads: Retained for the duration of your active account. Permanently deleted within 30 days of account deletion request.

Agent Conversations: Retained for the duration of your active account plus 6 months for service improvement analysis (anonymized). Raw conversations deleted within 30 days of account deletion.

Assessment and Progress Data: Retained for the duration of your enrollment plus 5 years for academic record purposes, as required by educational regulations.

Notification and Communication Logs: Retained for 12 months from creation, then automatically purged.

Development Snapshots: Retained for the duration of your active account plus 2 years. These form part of your educational record.

Usage Analytics: Retained for 12 months in identifiable form, then anonymized for aggregate statistical analysis.

Enrollment and Institutional Data: Retained for the duration of your enrollment plus 5 years for compliance with educational regulations.

Uploaded Documents: Retained for the duration of your active account. Permanently deleted within 30 days of account deletion request.

Requesting Deletion

You may request deletion of your data at any time by contacting info@horizonsarchitecture.ai. We will process deletion requests within 30 days, subject to any legal retention requirements. Some data may be retained in anonymized form for aggregate analytics. Backup systems may retain encrypted copies for up to 90 days after deletion from primary systems.
